Getting started with QuaQua MEET

 Learn all about how to get started and use the QuaQua MEET platform.

When having a QuaQua meeting, you can share your screen and share a document, presentation, video, ... 
Check out our handy overview to get you started. If you are a mac user, make sure to enable screen sharing first.

You can compare your QuaQua meeting room with renting a fully-equipped event space. The room will be available for you to welcome your guest or to check if everything is set up to your wishes. At QuaQua we have two types of meetings. Short or long meetings.

  • Short meeting = < than 2 hour meeting.
    In this case your meeting organiser indicated the start and end timing of your meeting. The meeting room will be available 30 min before and 30 minutes after the indicated time. It's the perfect moment to get acquainted with our platform and get ready for a successful multilingual meeting.
  • Long meeting = > than 2 hour meeting. 
    In this case we make your meeting room available for the day. This means for 24 hours, and only on the date of your meeting. You are free to enter and use the QuaQua meeting room for one long meeting, or for multiple meetings with different attendees. We do advice to give attendees the time to get acquainted with the platform.

At QuaQua we have two types of meetings. Short or long meetings. What happens at the end of a meeting depends on the type of meeting you are having: 

  • Short meeting = < than 2 hour meeting.

This will also mean if your meeting takes longer than expected, the room will close automatically 30 minutes later than when your meeting normally would have stopped.

    In this case we make your meeting room available for the day. This means for 24 hours, and only on the date of your meeting. You are free to use the QuaQua meeting room for one long meeting, or for two meetings with different attendees.

Organising a meeting or conference with a large amount of attendees. This requires some rules to keep the meeting constructive. We'll explain how to speak during a meeting with: Open access, Request list and FIFO.

For a fully interactive (many to many) meeting, we can work with up to 150 attendees. For events with larger audiences, we also offer streaming services, which provide an ideal solution for less interactivity.

QuaQua essentials 

  • Use Google chrome as the browser for QuaQua meetings 
  • Use a laptop or desktop pc with an i5 Quad processor (or higher) 
  • Connect with a fast and stable internet connection (min. 8MB / sec) 
  • Always use a headset (preferably with a microphone) 
  • Check here if your computer has the latest version of Google Chrome 
  • Click here to check your internet connection

You will not be able to enter the meeting room without these essentials 

Before logging in

Make sure all your devices are plugged in and connected.

Camera & audio set-up 

First-time user? Chrome will ask for permission to use your camera and microphone. Don't skip this step! 

For interpreters

You will have to select your outgoing A/B channels when logging in. Next, you can choose which languages you want to hear in relay. These are your incoming languages.

Need to change your relays? Edit this in the settings menu. 

Checked everything?

You're good to go! See you on QuaQua!

The QuaQua user interface is carefully designed to keep it as simple as possible. If you are looking for the mute button, this will help you out.

  • Participant interface: there is no mute button in this interface you can simply switch your microphone on or off by clicking the microphone button or the spacebar. 
  • Interpreter interface: as an interpreter, you select the channel of the language you are interpreting too. In the image below you can find the mute button on the bottom right side. In this case, no channel is selected, so the mute button is not accessible. If one of the channels is selected, the mute button will become active. If you press the button the microphone will be mute as long as you hold the button. The mute button functionality is the same as the cough button you know from a hardware console. 

The be able to conduct your meetings in a structured fashion, different roles were created to facilitate the meeting.

The chairperson:

  • He is always visible at the top of the thumbnails.
  • He has the floor immediately, by turning on his microphone and thus can overrule the maximum number of microphones.
  • He manages the speakers' queue.
  • And he can share without being an active speaker.

The meeting manager:

  • He also can manage the speakers' queue.
  • He can also share without being an active speaker.
  • His task is actually to help out the chairperson with the speakers' queue management and the sharing of presentations.

The interpreter:

  • He interprets from a virtual booth using the QuaQua interpreter console or interface

The support operator:

  • He has access to the chatroom of all the interpreters, but not to the separate chatrooms of the interpreter teams.

The presenter:

  • This is a participant with the added right to share, without being an active speaker.

The participant:

  • They can have or need to request the floor, to speak and to share, depending on how the meeting was set up.
  • They have the ability to choose the language they want to listen to.
  • They can send chat messages during the meeting.

Yes, definitely! The voting tool can be used on QuaQua Meet. This allows participants to vote during the meeting.

As a meeting organizer you can upload different voting items and even add or edit topics during the meeting. The participants can vote ‘yes’, ‘no’ or withstand their vote.

Voting is included as standard in QuaQua without any extra costs and are available in QuaQua Booking.

QuaQua offers two options for inviting participants to your meeting:

  • When you select an open access meeting, you can invite your participants by sending them the link to the meeting room.
  • If you want to be sure that only invited people can enter the meeting room, you can choose a meeting with limited access. Every participant’s email address will be added to the meeting room upfront. If you want to secure your meeting even more, we also offer the possibility to add a pin code lock to your meeting room.

Aside from the multilingual aspect, a QuaQua Meeting Room uses a refined microphone and meeting management tool. Participants can take the floor when they want to or you can set up a speakers queue. We’ve added meeting roles like a chairperson, who manages the meeting settings and microphones. Say goodbye to the days of saying “Can you please mute your mic?”

Yes, you can always record the audio of your meeting and download it in your QuaQua Booking workspace. For video recording, you can mention this when requesting a quote or you can simply contact us.

As the chairperson or meeting manager, you have the option to mute participants to keep the meeting structured and organised. This means that you can turn anyone’s microphone on or off.

The number of possible languages on QuaQua is unlimited, so depending on the languages that have been made available during the meeting, you can simply select the channel you want to listen to in your preferred language.

If your meeting is already scheduled and is canceled before it takes place, you will receive meeting credit that equals the value of your meeting in your QuaQua Booking account. You can simply use this credit later on when you want to schedule your next meeting.

The QuaQua Booking tool allows you to schedule your meetings easily at any time. You can plan and customise each meeting based on your needs. The timing can be changed up until half an hour before the start of the meeting. Most other meeting settings can be changed until the meeting actually starts or even during the meeting.

You can already book your QuaQua meeting in advance at any moment with our QuaQua booking tool. If you already have a team of interpreters at your disposal, you can book your meeting until right before the meeting starts. If you require interpreters for your meeting, we advise you to book your meeting long enough in advance, so our Sales Team can organise everything as requested.

QuaQua Connect allows participants to meet on any platform in the language of their choice. This solution provides real-time interpretation alongside any online meeting or event. Participants can easily access the interpretation with a unique Connect link that can be opened on any device.

The interpreters can work from the comfort of their familiar, professional QuaQua interpreter booth, on-site or at home.

Our capacity goes up to 5000 listeners and we’re still expanding!

Of course! QuaQua Connect is the perfect solution to provide simultaneous interpretation to large crowds. All it takes is a smartphone, earphones, and two clicks.

One last tip! Sometimes you need to give your browser a little hand. You can do a hard refresh by using the keyboard combination 'ctrl' 'shift' + 'r', or the key F5.

At QuaQua we like to keep it simple. We have designed our interface so that there are no unnecessary distractions. 

To add to the user-friendly interface we introduced one short key. Yes, just one. This helps you focus on the meeting, and not on the features. 

You can turn your microphone on or off, simply by pressing on the spacebar. 

Make sure that the Chrome window that is broadcasting your meeting is the selected window on your screen. If not, your short key will of course not work.

Technical requirements to perform simultaneous interpreting on QuaQua

In this new era of online conferencing, technology is a strong enabler in breaking language barriers all over the world. There are 3 basic requirements to ensure all participants (including interpreters) can speak hear and be heard clearly without any interruption.

This is what you will need: 

  1. A performance-ready computer. If your laptop or desktop has an i5 Quad processor (or higher) you are already set to go. 
    You do not need to install any software to use QuaQua, but you will need the latest version of the google chrome web browser.
  2. Work worry-free and connect with a fast ethernet cable connection to the internet. This is the only way to ensure a fast and stable internet connection. Wi-Fi is prone to interferences and does not provide a reliable basis for uninterrupted video and audio streaming. Weather conditions, other users in the network, and more factors can slow your connection down. That's why we strongly encourage connecting your computer via ethernet cable to the internet.

  3. Professional headset. 
    Make sure to use a professional-level noise-canceling USB headset or professional desktop microphone along with over-ear headphones.

How does it work: 

  1. Register for the QuaQualification course on this page.
  2. You will receive an email with a password that will give you access to the QuaQualification training.
  3. At the end of the training, you are asked for more detailed information so we can add you to the QuaQua interpreter database. 
  4. You will receive an email with the QuaQualification test. Once completed you are ready to start working on QuaQua, or even become a QuaQua Agent!

At QuaQua we like to keep it simple. The soft console we designed is similar to a hardware console, but with the advantages of a digital interface. This way you can start working with QuaQua without big hurdles. Our soft console is one of the most user-friendly interfaces for interpreters out there. Why? We integrated the language relay switch and microphone into one button. So when you switch language relays, you no longer need extra handling and turn on your microphone.

To add to the user-friendly interface we introduced two short keys. Yes, just two. This helps interpreters focus on the job at hand.

Interpreters play a vital role in ensuring a successful multilingual QuaQua meeting. If you are looking for technical training before you start working on QuaQua, the QuaQualification training will help you out. 

The training will get you familiar with our online meeting room features and the QuaQua soft console or virtual interpreter desk.

Make sure you are all set for your QuaQua meeting or event.

Make sure other participants can see and hear you.

Of course, you want to make sure that you will not have any technical problems at the time of the meeting or event. But how can you test this if the meeting has not started yet?

Do the QuaQua test!

With this advanced testing tool, you get immediate feedback on whether your setup is sufficient. The test will be to perform the following checks:

  • Server connection 
  • Realtime messaging service 
  • Media service 
  • Audio input and output test 
  • Test the quality of your webcam
  • Internet speed test for up and download
